Migration on Demand

In a typical migration away from IBM Notes, Administrators only migrate the most recent mail to provide business continuity.

This is insufficient if users also require important older mail, e.g. employment related mail, personal mail, contacts etc.

To assist with this, the Notes Pipeliner includes 'Migration on Demand', a self-service approach where users search their own Mail & Archives using a Browser, then migrate Mail, Calendar Items, Tasks, Contacts etc, when and if required.

This means users themselves decide what's important, rather than having that decision made for them by the IT Department.

Migration on Demand also saves migration resources, as users only migrate information that they actually require.

Users can search their Mail & Archives whenever they want, as many times as they want, and export to Office 365 (incl. Archives), PST, PDF, HTML and EML. For example, a user could choose to export all their Contacts, all mail from a specific person/company, all mail in certain folders, all mail with 'legal' in the subject etc.

This makes all historical Notes Mail available, without needing to migrate TB of unnecessary data.

Powerful search functionality makes it easy for users to find the data they want, and this function can be used for as long as required, for any number of users. *12000 users at one company migrated themselves this way.

The following screenshots show user migration via a Browser.
1. Search
Each user sees only their own Mail & Archives. The Administrator controls options, labels, logos etc.

This example searches Mail and Archives for the word 'Partnerworld', where there is also at least one attachment;

Search Mail
2. Migrate
From the results page, users select results to migrate, then the required format.

If migrating to PST, you can add results to an existing PST, building one PST from multiple searches.

Search Mail
3. Download
The user either downloads the exported files, or migrates data directly to Office 365.

Search Mail
4. Folder Export
Users can also use a dedicated Folder Export function, organising data into Folders prior to migration, or upload files to Office 365 and/or Office 365 Archives.

Search Mail
5. Control
Administrators control all facets of the migration - date ranges allowed, types of documents allowed, target formats, volume of concurrent exports, volume of data, prevention of duplicates etc. This ensures Administrators still manage the data migration, but allow users to execute it.
